Bow Carpet Cleaning Service Terms and Conditions

These Terms and Conditions set out the basis on which Bow Carpet Cleaning provides carpet, upholstery and related cleaning services to residential and commercial customers. By booking or using our services, you agree to be bound by these Terms and Conditions. Please read them carefully before making a booking.

1. Definitions

In these Terms and Conditions, the following expressions shall have the meanings set out below.

Client means the individual or business purchasing services from Bow Carpet Cleaning. Company means Bow Carpet Cleaning, the provider of cleaning services. Premises means the property or location where the services are to be carried out. Services means any carpet, rug, upholstery, hard floor, or related cleaning service supplied by the Company to the Client. Agreement means the contract between the Client and the Company, consisting of these Terms and Conditions and any confirmed booking details.

2. Scope of Services

The Company provides professional carpet and related cleaning services within its operating area. The precise nature of the Services to be supplied will be as described in the booking confirmation, quotation or invoice provided to the Client.

Services may include, but are not limited to, carpet cleaning, rug cleaning, upholstery cleaning, spot and stain treatment, deodorising and other related treatments as agreed in advance. Any additional tasks requested on the day of service are subject to staff availability, health and safety considerations and may incur additional charges.

3. Booking Process

3.1 Bookings can be requested through the Companys approved booking channels. A booking is not confirmed until the Company has issued explicit confirmation of the date, time, address, scope of work and indicative price.

3.2 The Client is responsible for providing accurate details, including property access information, parking arrangements, type and approximate size of areas to be cleaned, and any known issues such as heavy soiling, staining, pet damage or previous cleaning treatments.

3.3 The Company reserves the right to refuse or cancel any booking where it reasonably considers that the job falls outside its areas of expertise, poses health and safety risks, or cannot be carried out with the equipment and time available.

3.4 Any quotations provided, whether verbal or written, are based on the information supplied by the Client and on typical room sizes. The Company may adjust the price on arrival if the information provided was inaccurate or if the actual conditions at the Premises differ significantly from those described.

4. Access to the Premises

4.1 The Client must ensure that the Companys operatives have safe and unrestricted access to the Premises for the duration of the appointment, including adequate lighting, electricity supply and, where applicable, hot water.

4.2 The Client is responsible for ensuring suitable parking for the Companys vehicle in reasonable proximity to the Premises. Any parking charges, congestion charges or parking fines incurred while performing the Services due to lack of proper arrangements may be added to the Clients invoice.

4.3 If the Company is unable to gain access to the Premises at the agreed time, or if the appointment cannot proceed due to lack of access, the visit may be treated as a late cancellation and a charge may apply as set out in the cancellation section.

5. Client Obligations

5.1 The Client must remove small items, breakables, valuables and fragile possessions from the areas to be cleaned prior to the appointment. The Company will not move heavy furniture, electrical items or delicate objects unless specifically agreed, and then only at the Clients risk.

5.2 The Client must inform the Company of any conditions that may affect the Services, including but not limited to damaged flooring, loose tiles, unstable furniture, frayed carpets, pre-existing stains, colour instability, and any known allergy or sensitivity to cleaning products.

5.3 The Client must keep children, pets and other occupants away from areas being cleaned and from equipment and chemicals used by the Company, both during and immediately after the service while surfaces are still damp or drying.

6. Pricing and Payments

6.1 Prices are generally quoted per room, per area, per item or per job, as specified at the time of booking. Any quoted price is exclusive of additional optional treatments unless stated otherwise.

6.2 The Company reserves the right to amend prices if the work required is materially different from that described at the time of booking, including where rooms are substantially larger than typical sizes or the level of soiling is significantly heavier than indicated.

6.3 Unless agreed otherwise in writing, payment is due immediately upon completion of the Services. The Company may accept payment by cashless methods or other accepted means as communicated to the Client.

6.4 For commercial Clients or larger projects, the Company may require a deposit or part payment in advance. Any such requirement will be notified before confirming the booking. The Company may suspend or cancel Services if payments are not made when due.

6.5 All sums payable to the Company must be paid in full without set-off, deduction or counterclaim. If payment is not received by the due date, the Company may charge interest and recover any reasonable costs incurred in enforcing payment.

7. Cancellations and Rescheduling

7.1 The Client may cancel or reschedule a booking by giving the Company reasonable notice. Where possible, the Client should provide at least 24 hours notice prior to the scheduled appointment time.

7.2 The Company reserves the right to charge a cancellation fee where the Client cancels or reschedules with insufficient notice. Same-day cancellations, or where the operative is already en route or on site, may be charged up to the full quoted amount at the Companys discretion.

7.3 If the Company needs to cancel or reschedule an appointment due to staff illness, equipment failure, severe weather, access issues or other circumstances beyond its reasonable control, it will notify the Client as soon as practicable and offer an alternative appointment. The Company will not be liable for any loss arising from such cancellation or rescheduling.

7.4 If the Client is not present at the Premises at the agreed time and has not arranged for access or left keys in a secure manner as agreed in advance, the appointment may be treated as a late cancellation and a fee may apply.

8. Service Standards and Limitations

8.1 The Company will use reasonable care and skill when providing the Services, in line with accepted industry practice for professional carpet and upholstery cleaning.

8.2 While the Company will endeavour to remove or reduce stains and odours, it does not guarantee complete removal in every case. Some stains, markings, odours, wear, sun damage and discolouration may be permanent and beyond the scope of cleaning.

8.3 Drying times for carpets and upholstery may vary depending on factors such as ventilation, humidity, fabric type and level of soiling. Any estimated drying times are approximate only and not guaranteed.

8.4 Prior to cleaning, the Company may conduct tests on fibres and dyes. If, in the Companys professional opinion, cleaning may damage the material, the Company may decline to proceed or may proceed only after obtaining the Clients explicit acceptance of the risk.

8.5 The Client accepts that the appearance of carpets and upholstery after cleaning can be affected by pre-existing wear, pile distortion, shading, delamination, shrinkage, loose seams and other underlying conditions for which the Company is not responsible.

9. Health, Safety and Waste Regulations

9.1 The Company complies with applicable UK health and safety regulations when carrying out the Services. The Client agrees to provide a safe working environment, free from unreasonable hazards, aggression or abuse.

9.2 The Company may use professional cleaning solutions and equipment that must be handled only by trained operatives. The Client must not interfere with or operate any equipment or chemicals supplied by the Company.

9.3 The Company will manage and dispose of its own waste products and used containers in accordance with relevant environmental and waste regulations. This includes safe handling of contaminated rinse water and residues generated during the cleaning process.

9.4 The Client is responsible for disposal of any general household or commercial waste, clutter, or items removed from carpets and furniture. The Company does not offer a general waste clearance service unless expressly agreed and separately charged.

9.5 If the Premises contains hazardous materials, including but not limited to sharps, bodily fluids, infestations or building materials that may pose a risk, the Client must declare this in advance. The Company may decline to carry out the Services or may require specialist procedures and pricing.

10. Damage and Liability

10.1 The Company will take reasonable precautions to protect the Clients property while performing the Services. However, the Client is advised to remove valuables, breakables and items of sentimental value from the work areas.

10.2 The Companys liability for any loss, damage or expense arising from the Services shall, to the fullest extent permitted by law, be limited to the value of the individual service booked or the amount actually paid by the Client for that service, whichever is lower.

10.3 The Company shall not be liable for any pre-existing damage to carpets, rugs, upholstery, flooring, skirting boards or furnishings, nor for wear, fading, or defects revealed by the cleaning process. This includes damage or marks that become more visible after dirt and residues are removed.

10.4 The Company shall not be liable for indirect or consequential loss, loss of profits, loss of business, loss of use, loss of data or any similar damages arising out of or in connection with the Services.

10.5 Nothing in these Terms and Conditions limits or excludes the Companys liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded under applicable law.

11. Complaints and Claims

11.1 If the Client is dissatisfied with any aspect of the Services, they must notify the Company as soon as reasonably possible and in any event within 48 hours of completion of the work, giving a clear description of the issue.

11.2 The Company shall be given a reasonable opportunity to inspect and, where appropriate, to re-clean or otherwise remedy the issue. Refusal by the Client to allow such rectification may limit or extinguish any further liability on the part of the Company.

11.3 Any claim for loss or damage must be supported by evidence and made within a reasonable time after the event giving rise to the claim. The Company may request photographs, invoices, reports or other documentation as part of its assessment.

12. Insurance

12.1 The Company maintains insurance cover that is customary for businesses providing similar cleaning services, including public liability cover, subject to policy terms, conditions and exclusions.

12.2 The existence of insurance does not extend or increase the Companys liability beyond that set out in these Terms and Conditions or required by law.

13. Privacy and Data Protection

13.1 The Company will process personal data provided by the Client for the purposes of handling enquiries, confirming bookings, providing Services, taking payment, and managing customer relations.

13.2 The Company will take reasonable steps to keep personal data secure and will not sell such data to third parties. Personal data may be shared with service providers or regulatory bodies where necessary to perform the Services or to comply with legal obligations.

13.3 By providing their details, the Client consents to the Company using their information for the above purposes. The Client may request access to, or correction of, their personal data, subject to legal limitations.

14. Amendments to Terms

14.1 The Company reserves the right to update or amend these Terms and Conditions from time to time. Any changes will apply to new bookings and to ongoing arrangements where legally permissible and notified to the Client.

14.2 The version of the Terms and Conditions in force at the time of booking will generally apply to that particular service, unless otherwise agreed or required by law.

15. Governing Law and Jurisdiction

15.1 These Terms and Conditions, and any dispute or claim arising out of or in connection with them or the Services, shall be governed by and construed in accordance with the laws of England and Wales.

15.2 The parties agree that the courts of England and Wales shall have exclusive jurisdiction to settle any dispute or claim arising out of or in connection with these Terms and Conditions or their subject matter.

16. General Provisions

16.1 If any provision of these Terms and Conditions is held to be invalid or unenforceable, that provision shall be deemed severed, and the remaining provisions shall continue in full force and effect.

16.2 No failure or delay by the Company in exercising any right or remedy under these Terms and Conditions shall operate as a waiver of that right or remedy.

16.3 These Terms and Conditions, together with any written confirmation of booking or quotation, constitute the entire agreement between the Client and the Company in relation to the Services and supersede any prior understandings or agreements, whether oral or written.
